# Invite, Assign, and Manage Your Field Officer Team

> Invite field officers to Terriqon, assign them to projects, manage active and suspended status, and keep your team's seat usage under control.

Your field team is the foundation of every data collection project in Terriqon. This guide explains how to invite field officers to your organisation, assign them to projects, manage their status over time, and keep your seat usage under control. Whether you're onboarding a team of five for a single project phase or managing a rotating workforce of dozens across multiple programmes, these steps keep your roster clean and your data attributable.

## Inviting Field Officers

    Click **Team** in the left sidebar to open your organisation's user roster.

  <Step title="Click Invite Field Officer">
    Click the **Invite Field Officer** button in the top-right corner of the Team page.
  </Step>

  <Step title="Enter email addresses">
    Type the email address of the person you want to invite. To invite multiple field officers at once, enter each address on a new line or separated by commas.
  </Step>

  <Step title="Assign to projects (optional)">
    You can assign new field officers to one or more projects at invite time. This ensures the right forms appear on their home screen as soon as they accept. You can also skip this step and assign them later from the Projects view.
  </Step>

  <Step title="Click Send Invites">
    Click **Send Invites**. Each invitee receives an email with a personalised acceptance link.

  <Step title="They accept and install the PWA">
    When field officers click the link, they are prompted to set a password and install the Terriqon PWA on their device. See [Collecting Data](/guides/collecting-data) for PWA installation instructions you can share with your team.

## Tracking Invite Status

After sending invites, you can monitor their progress from the **Team** page. Each field officer has one of three statuses:

| Status        | Meaning                                                   | Counts toward seat limit? |
| ------------- | --------------------------------------------------------- | ------------------------- |
| **Pending**   | Invite sent but not yet accepted                          | No                        |
| **Active**    | Invite accepted; field officer can log in and submit data | Yes                       |
| **Suspended** | Account temporarily deactivated by a manager or admin     | No                        |

Pending invites do not consume a seat. A seat is only occupied once the field officer accepts the invite and their status moves to Active.

## Assigning Field Officers to Projects

You can add or remove field officers from a project at any time:

    Navigate to **Projects** in the left sidebar and click the project you want to manage.

  <Step title="Go to the Team tab">
    Inside the project, open the **Team** tab. You'll see all field officers currently assigned to the project.

    Click **Add Field Officer** to assign someone from your organisation's roster. To remove a field officer from the project, click the three-dot menu next to their name and select **Remove from Project**.

Removing a field officer from a project does not delete their account or their historical submissions — it simply means the project's forms will no longer appear on their home screen.

## Suspending and Reactivating Field Officers

When a field officer leaves your programme, finishes a project phase, or goes on extended leave, **suspend** their account rather than deleting it.

To suspend a field officer, open the **Team** page, click the three-dot menu next to their name, and select **Suspend**. To reactivate them later, follow the same steps and select **Reactivate**.

<Tip>
  Suspend rather than delete field officers who have completed a project phase. Their historical submissions are fully preserved, and you can reactivate them for the next phase without any data loss or re-onboarding friction.

Suspending a field officer immediately:

* Removes them from your active seat count
* Prevents them from logging in or submitting new data
* Preserves all of their historical submissions and attribution

## Seat Limits by Plan

Your Terriqon plan includes a fixed number of seats for field officers. Only **Active** field officers consume a seat.

To stay within your plan's seat limit:

* **Suspend** field officers who are between project phases
* **Upgrade your plan** if your team has grown beyond your current tier
* **Review your roster** regularly from the Team page — the seat counter at the top of the page shows how many seats you're currently using

  Organization Admins and Organization Managers are not seat-counted. You can invite as many managers as your programme requires at no additional cost.
