# Terriqon User Roles, Permissions, and Seat Management

> Three roles govern access in Terriqon: Organization Admin, Manager, and Field Officer. Only active Field Officers count toward your plan's seat limit.

Terriqon uses three distinct user roles to match access levels to responsibilities. Organization Admins and Managers handle the operational and strategic layers of the platform — building forms, managing projects, reviewing data, and approving reports. Field Officers are the people on the ground doing data collection. Because field capacity is the primary cost driver, only active Field Officers count toward your plan's seat limit. Understanding how roles and seats interact helps you keep your team organized and your costs predictable.

## The Three Roles

  Organization Admins and Managers are not seat-limited. Only add Field Officers to your team based on the number of people actively doing fieldwork.

## How Seats Are Counted

Your plan's seat limit applies exclusively to Field Officers, and only those with an **Active** status. The following Field Officer states do **not** count toward your seat total:

* **Suspended** — temporarily blocked from logging in but still in your roster
* **Deleted** — removed from the account entirely
* **Pending** — invited but has not yet accepted the invitation

This means you can invite Field Officers in advance without consuming a seat until they accept, and you can suspend seasonal workers without losing their profile data while freeing the seat for someone else.

You can review your current seat usage at any time from **Settings → Billing**.

## Managing Seats

**To free up seats**, suspend or delete Field Officers who are no longer actively submitting data:

1. Go to **Team → Field Officers**.
2. Select the officer whose status you want to change.
3. Choose **Suspend** to retain their profile and submission history while releasing the seat, or **Delete** to remove them from the account permanently.

**To add more seats**, upgrade your plan from **Settings → Billing → Change Plan**. The available plans are:

| Starter    | 15 Field Officer seats  |
| Growth     | 50 Field Officer seats  |
| Enterprise | 150 Field Officer seats |

If you are on an Enterprise plan and need capacity beyond 150 seats, contact your account manager to discuss a custom arrangement.

Admins and Managers never count toward any seat total, regardless of how many you add to your account.
